Development Journey: From Vision to Reality

Phase 1: Initial Planning

The initial phase of the project involved careful planning to ensure we could deliver essential features quickly and within budget. Dr. Katiraei was cautious about the platform’s claims and wanted to avoid any legal issues related to overstating its capabilities. We decided to build the platform gradually, prioritizing stability and reliability over adopting the latest technology trends, like artificial intelligence (AI), which might have added unnecessary complexity.

Our first milestone was to create a Minimum Viable Product (MVP) that would allow Dr.Katiraei to start testing the platform with real users. This approach allowed us to gather valuable feedback early on, which would guide the development of more advanced features in later stages.

Phase 2: Testing and Pivoting After Market Feedback

We launched the MVP with 30-40 beta testers to evaluate the platform’s core features, including the sign-up process and general usability. During this testing phase, we discovered key insights that would shape the future direction of the platform:

  • The Need for Collaboration: Patients with autism often need
input from multiple specialists. The platform needed to facilitate communication
    and data sharing between providers.
  • Primary Provider Role: Each patient needed a designated primary
provider to take overall responsibility for their care. This helped avoid
confusion and ensured that patient care was coordinated effectively.

These insights led us to pivot the platform’s focus from a Direct to Consumer (D2C) model to a Business to Business (B2B) approach, prioritizing healthcare provider onboarding. The platform also needed to support hird-party software integrations and subscription-based features, allowing providers to set their own fees and earn revenue through the platform.

The Challenge

Complexity of Collaboration

Autism care often requires a collaborative approach. Different healthcare providers—including doctors, therapists, and specialists—must work together to track patient progress, share data, and coordinate treatments. The platform had to be designed to facilitate seamless collaboration across multiple providers working on the same patient’s case. Furthermore, the platform needed to support the use of dynamic questionnaires, allowing providers to gather and interpret data from various patient interactions.

Scalability

The platform had to be designed with future growth in mind. As the number of users—both patients and healthcare providers—increased, the system needed to maintain optimal performance without compromising speed or user experience. This required a robust infrastructure capable of handling increased loads without the need for frequent and costly updates.

Time Sensitivity

Time was a critical factor. The platform needed to be developed and launched quickly to attract both funding and healthcare providers. Any delays could result in missed opportunities for securing crucial investment or building momentum for provider adoption.

Cost Efficiency

Building a high-quality platform in Silicon Valley would typically cost millions of dollars. While Dr. Katiraei had initial capital to invest, he wanted to ensure his funds were used efficiently. His priority was to build a sustainable platform that could scale over time without burning through resources, allowing him to reinvest in future growth and expansion.

Solving Complex User Experience Challenges

One of the biggest hurdles we faced during development was optimizing the user experience for the dynamic questionnaire system. Healthcare providers often ask a large number of questions before making a diagnosis, and we initially designed the system to present questions one at a time. However, test users found this overwhelming and difficult to navigate.

We took a step back to understand why patients found this digital approach more challenging than traditional paper forms. After reviewing the differences, we discovered that paper forms typically grouped several questions together on the same page, especially simple yes/no questions like “Are you diabetic?” This helped patients process the information more easily.

Armed with this insight, we redesigned the questionnaire interface to display up to 30 questions on a single screen without overwhelming the user. This new layout improved the user experience, making it easier for patients to complete the questionnaires.

Building a Sophisticated Diagnostic System

As development continued, we encountered another major challenge: building a weighting system for the questionnaire responses. Dr. Katiraei explained that different answers needed to carry different weights, depending on the symptoms they related to. For example, a “Yes” answer to the question “Do you have a damp room at home?” could carry a weight of 4 for symptoms related to bowel disorders, while a “No” answer might carry a different weight for other symptoms.

To address this complexity, we developed a sophisticated diagnostic system that could:

  • Assign specific weights to every answer.
  • Relate those weights to specific symptoms and body systems.
  • Track changes and maintain detailed logs for future reference.
  • Allow users to undo changes when necessary.

This advanced system enabled healthcare providers to offer more accurate and personalized care, based on the unique needs of each patient.

Creating a Community and Provider Training Program

Dr. Katiraei’s vision extended beyond just providing clinical care. As a leader in autism detection and treatment, he understood the importance of community support and continuous provider education. To support this, Discourse platform was used, creating a community hub where providers and patients could connect, share knowledge, and support each other.

In January 2024, Dr. Katiraei launched a provider training program using the Teachable platform. This program helped onboard over 150 healthcare providers, teaching them how to use the Wholistic Minds platform to provide better care for their patients. By creating this educational ecosystem, Dr. Katiraei ensured that the platform would have long-term adoption and success.

Continuous Improvement Through Beta Testing

The second round of beta testing provided us with even more valuable feedback, which allowed us to make several key improvements:

  • We added diet tracking features, allowing healthcare providers to monitor their patients’ nutrition and offer personalizeddietary recommendations. This feature also included graphical representations of nutritional data for easier interpretation.
  • We developed a virtual walkthrough for first-time users to help them navigate the platform’s features more easily.
  • We introduced allergy tracking functionality to help providers better understand their patients’ unique needs.
  • We created mobile apps to make it easier for patients to input diet and symptom data on the go.
  • We refined the platform’s color scheme to
create a more soothing user experience, reducing the likelihood of triggering strong emotions in users.
  • We enhanced the provider discovery system, offering automatic local recommendations based on users’ zip codes.

Funding Journey and Growth

Throughout the development process, Wholistic Minds was supported by strategic funding rounds. Dr. Katiraei initially bootstrapped the project with $300K of his own funds.

As the platform demonstrated its value through successful beta testing and provider onboarding we secured an additional $300K to further enhance the platform’s provider-focused features. Later, we raised another $200K specifically for marketing efforts, bringing the total funding to $850K.

How We Saved Over $3.6M in Development Costs

Wholistic Minds could have chosen to build their platform with a Silicon Valley-based team, but this would have cost over $4.6M over five years. By partnering with our team in Nepal, Wholistic Minds was able to save over 80% of that cost, without compromising on quality. Here’s breakdown of the potential costs if they had gone with a Silicon Valley-based team:

Role Cost per Year (Silicon Valley) Total Cost (Silicon Valley)
Backend Developers (3) $120,000 per developer $1.8M
Project Manager (1) $140,000 $700K
QA Specialists (2) $90,000 per QA specialist $900K
Frontend Developer (1) $120,000 $600K
Designer (1) $80,000 $400K
Mobile App Developer (1) $100,000 $200K (2 years)

By choosing us, Wholistic Minds saved $3.68M in development costs, allowing them to reinvest in marketing and expanding the platform.

Smooth and Seamless Collaboration

One of the key benefits of working with our team was the ease of communication. We understand that remote collaborations can sometimes be challenging, but we made the process as smooth as possible for Wholistic Minds:

  • We held weekly meetings to discuss progress, gather feedback, and provide updates.
  • Dr. Katiraei didn’t need to manage the day-to-day aspects of the project. Once we received feedback, we handled the execution—allowing him to focus on the bigger picture.

Our transparent pricing structure meant there were no hidden costs or surprise fees, giving Dr. Katiraei confidence in managing the project’s budget.
